Job Description

- Work Location: District 01, HCMC

<Job Responsibilities>
・BOOKING TASK

- Collect necessary information to secure bookings.
- Coordinate with shippers on forecasts and obtain agent approval.
- Manage space reservations on aircraft/vessels.
- Modify bookings based on customer requests.

・DOCUMENTATION TASK
1. Customer-Related:

- Issue shipping documents, process payments, and send documents.
- Follow carrier regulations and government policies.
- Verify information, arrange trucking and customs, and release bookings.
- Track status, update customers, and manage pick-up schedules.
- Cross-check documents and provide information for customs declarations.
- Print original shipping documents if required.

2. Carrier-Related:
- Submit shipping instructions and weight information, and verify figures.
- Process payments to carriers.
- Monitor surrendered shipping documents status.
- Follow up on import manifests, arrival notices, and delivery orders; manage empty returns.
- Register new carrier accounts.
- Track free time, demurrage, detention, storage charges, and cargo status.
- Check actual departure times and automated manifest system/security filing status.

3. Agent-Related:
- Communicate with agents for approvals, select schedules, and adjust documents.
- Confirm and push delivery notes at both the Japan and Vietnam sides.
- Dispatch draft house bills of lading and master bills of lading; notify agents for cargo release.
- For imports: Receive pre-alerts and verify documentation.
- Confirm delivery notes/customer reference numbers and review packing lists.

4. Vendor-Related:
- Organize trucking solutions and address issues.
- Manage customs operations.
- Track actual departure times; send signed shipping documents for certificate of origin issuance.
- Arrange insurance, fumigation, and phytosanitary services.
- Review and adjust sales contracts.

5. Other Activities:
- File advance filing rules/automated manifest system per house bill of lading.
- File manifests for import shipments.
- Collaborate to resolve issues.
- Compare quotations and evaluate costs.

Job Requirement

<Necessary Skill / Experience>

・Language:  English Conversational Level

・Experience: At least 3 years of logistics experience

・Others: 

   - Be capable of fulfilling the job responsibilities as Specific Works above

   - Willingness to take on new challenges

   - Good communication skills both internally and externally.

   - Good use of office computers and web tools

<Preferable Skill / Experience>

・Be able to use the Japanese Language

・Having working experience in a Japanese company or in Japan
