Provide administrative support to the Head of Manufacturing by managing calendars, scheduling meetings, and arranging travel logistics.
Facilitate effective communication within the Roastery and with other departments, act as a note-taker during meetings with suppliers and key stakeholders, capturing action items and following up on tasks post-meetings.
Assist in creating and formatting presentation slides and documents for internal and external stakeholders.
Ensure version control, accessibility, and confidentiality of key documents.
Maintain confidentiality and handle sensitive information with discretion.
Monitor and manage supplies and equipment required for the smooth operation of Highlands Coffee Roastery, including inventory management and procurement.
Perform general clerical duties, such as filing, photocopying, and organizing documents.
Support events at Highlands Coffee Roastery, and ensure the security of the facility.
Support the organization of Highlands Coffee Roastery events.
Project Coordination
Assist in project planning, establish timelines, and track project progress to ensure timely completion of deliverables.
Report status regularly to track project progress against goals, objectives, and timelines and keep stakeholders informed.
Serve as a central point of contact for project-related communication. Prepare and distribute project-related communications to stakeholders, ensuring clear and effective communication channels.
Assist in the preparation of reports, presentations, and other documentation as required.
Job Requirement
Education/ Training Qualifications
Bachelor's degree in Business Administration, Marketing, or a related field.
Experience
02+ years of experience as an Executive Assistant or Project Coordinator or in a similar administrative/ coordination role in the manufacturing industry is preferred.
Proven experience in translation and interpretation.
Knowledge of:
Proficiency in MS Office applications (Word, Excel, PowerPoint) and familiarity with project management tools.
Knowledge of manufacturing processes and operations is a plus.
