We are seeking a dedicated and detail-oriented Costing and Dispatching Officer to join our team in Vietnam. This role is critical for managing the cost accounting processes, ensuring accurate invoicing, coordinating product dispatches, and maintaining effective communication with customers and warehouse operations. The ideal candidate will have a strong understanding of cost accounting principles and experience in logistics or dispatch management.
Key Responsibilities:
1. Costing and Accounting:
Calculate and record all costing inputs, including material, labor, and overhead costs, ensuring accuracy and compliance with company policies.
Maintain and update costing records for all products.
Assist in the preparation of cost reports for management review.
Collaborate with the finance team to ensure accurate reflection of costs in financial statements.
2. Invoicing:
Prepare and issue invoices to customers based on dispatch records and sales agreements.
Ensure timely billing and follow up with customers for payment collection.
Reconcile sales invoices with dispatch reports to ensure consistency and accuracy.
3. Dispatch Management:
Coordinate with the warehouse team to ensure timely and accurate dispatch of goods.
Liaise with customers to confirm dispatch schedules and resolve any related issues.
Track shipments and ensure on-time delivery of goods to customers.
Maintain detailed records of all dispatches for reporting and tracking purposes.
4. Warehouse Coordination:
Work closely with the warehouse team to ensure stock levels are managed effectively for dispatch.
Monitor inventory levels and report discrepancies or low stock to management.
Assist in the organization of stock within the warehouse to optimize space and efficiency.
5. Customer Liaison:
Serve as the main point of contact for customers regarding dispatch and delivery inquiries.
Provide excellent customer service, addressing any concerns or issues related to dispatches in a timely manner.
Maintain communication with customers to ensure their satisfaction with the delivery process.
Job Requirement
Bachelor's degree in Accounting, Finance, Logistics, or a related field.
Minimum 1-2 years of experience in cost accounting, dispatch coordination, or logistics.
Strong knowledge of accounting software and Microsoft Office, especially Excel.
Ability to manage multiple tasks and prioritize workload effectively.
Excellent communication skills, both verbal and written.
Attention to detail and accuracy in work.
Ability to work collaboratively with internal teams and external customers.
