Operation:
Walk-around for inspection upon periodic schedule to discover potential signs of incidents, damages, or occurred damages to report to Building Management and find solutions. Observe the activities in the property relating to manning (car park attendants, contractors (hard and soft services), deliveries to rectify irregularities or violations to the regulations of the property related to Safety, Hygiene, and Environment.
Support Property Manager in preparation and execution of internal audits (assets and documents) and support the audit team as required.
Assist Property Manager in refurbishment works.
Supervise Security, the landscape team, the pest control activities, ensuring the contract obligations are fulfilled.
Participate in the collection of overdue accounts.
Ensure technicians follow and implement company regulations properly and perform their work effectively.
Assist in controlling car park operations (daily parking revenue, tenant complaints, parking incidents, and other issues).
Cost Control and Energy Saving
Guest Satisfaction:
Make Tenant communication a priority.
Support/supervise tenant’s contractors in repair or maintenance works.
Assist Operations Management in preparing executive paperwork: contracts, notices, correspondence, reports.
Safety and Security:
Ensure all staff, workers, and contractors understand and implement Fire & Safety regulations and procedures.
Participate in building security control.
Report emergencies to proper authorities.
Reporting:
Ensure that all reports are updated properly and punctually.
Carry out periodic and unscheduled reports as requested by Resident Management.
Management:
Legal document administration and file plan management: record keeping of all legal documents, licenses, and similar documents. Track expiry of legal records and renew as necessary.
Assist Property Manager in the development of capital and operating expense budgets, including planning for infrastructure upgrades, equipment replacements, building modifications, and other necessary items to ensure the building operates at maximum effectiveness and efficiency.
Qualification: from College's degree
Experience:
Professional: Minimum 4 years
Management: Minimum 2 years
Language: Preferable: English (Intermediate)
Soft Skills: Good communication, negotiation, teamwork, and time management skills.
Attitude/Behavior: Polite, responsible, flexible, and adaptable.
Leadership: Skilled in leading teams, making decisions, and independent judgment.
Others: Strong understanding of property management, preferably with office building and mall experience.
