The GA Assistant Manager will support the Head of the Department in overseeing all administrative, legal compliance, and facility management activities. This role requires strong leadership, organizational skills, and legal awareness. The position has the potential for promotion to GA Section Manager based on qualifications and performance.
This position manages the GA team and reports to the Head of the Department for the following duties:
1. General Administration & Legal Compliance
Manage administrative operations, including reception, meeting rooms, correspondence, legal documents, and company seals.
Support the process of amending investment certificates and maintaining compliance with company licenses.
Handle immigration-related services, including visas, work permits, and residence cards.
Arrange accommodations, air tickets, and transportation for business trips.
Ensure all administrative activities comply with local regulations and corporate policies.
Assist in contract review and compliance monitoring of administrative service providers.
Prepare legal compliance reports for submission to management and the Group.
2. Facility & Asset Management
Support maintenance, repairs, and renovations of common areas (toilets, meeting rooms, canteen, locker rooms, parking lots, security rooms, offices, etc.).
Manage office keys, sound systems, employees’ personal storage (shoe/personal boxes).
Supervise the cleaning team and ensure hygiene standards in common areas.
3. Procurement & Inventory Control
Assist in purchasing and managing office supplies, uniforms, stationery, sanitary items, business cards, drinking water, furniture, and office equipment.
Maintain essential supplies for daily GA operations (canteen, garden, First Aid room, etc.).
Organize corporate gifts for employees on special occasions (Tet, company anniversaries, etc.).
Find and evaluate suppliers who offer competitive prices while ensuring high-quality goods and services.
Negotiate with suppliers to ensure cost-effectiveness without compromising on the quality of products or services.
Monitor supplier contracts to ensure terms align with company policies and prevent legal risks.
4. Employee Services & Health Management
Oversee company transportation (buses, taxis, company cars).
Manage canteen operations and medical room services.
Ensure First Aid services, including:
Providing first aid and medicine for employees.
Organizing first aid training and occupational health check-ups.
Submitting health reports to local authorities.
Conducting annual medical emergency drills.
5. Security & External Relations
Assist in supervising security activities and protecting company assets.
Maintain relationships with local authorities, police, and the group regarding administrative and legal matters.
Coordinate with external legal advisors or consultants to address administrative compliance issues.
6. Environmental & Sustainability Initiatives
Support green area management, decorative plants, and gardening activities.
Ensure compliance with ISO standards related to quality, safety, and environmental management.
Prepare compliance reports for submission to the Group and local authorities.
7. Corporate Events & Employee Engagement
Assist in organizing company events such as Company trips, company anniversaries, year-end parties, and internal celebrations.
Act as the Master of Ceremonies (MC) for internal events when required.
8. Reporting & Compliance
Monitor and report on company-wide administrative and legal compliance issues.
Ensure all contracts, licenses, and policies align with local regulations and corporate standards.
Support the Head of department in preparing reports for senior management.
Job Requirement
II. JOB REQUIREMENTS
Age: 30 - 45.
Education: Bachelor’s degree or higher (preferably in Business Administration, Law, or a related field).
Languages: Proficient in English (ability to interpret when needed).
IT Skills: Strong command of Microsoft Word, PowerPoint, and Excel.
Experience:
At least 5 years of experience in administrative management.
At least 3 years in a supervisory or managerial assistant role.
Experience in legal and compliance matters related to administration is a plus.
Experience in ISO management systems is a plus.
Experience working in a manufacturing environment is a plus.
