Function as Marketing members’ primary administrative contact
To be the first contact point for Marketing Department with both internal and external counter parts.
In charge of procurement process for Marketing
Prepare and submit the PR for approval
Raise PR in the system with information as PR/Tender evaluation and vendor code
Coordinate with Procurement for PO, contract preparation, and follow up for contract sign-off
Monitor contract implementation and confirm good receipt/services on the system
Prepare advance requests/ settlements, liquidation documents for Finance payment as per procedure
Conduct training for new members or those who need to work on SAP, Ariba system
Manage document filling effectively as per guidelines
Conduct product testing as per Marketing guidelines
Upon Marketing/ CI instructions to prepare sample testing samples, coding and questionnaires
Distribute sampling tests to respondents as per indicated quotas
Support respondents to complete the test correctly if required
Collect individual results and consolidate reports for Marketing/ CI to analyse
Take charge of Marketing logistics
Support Marketing team in team’s engagement activities (monthly birthday lunch, team outing, sharing and learning sessions...) to promote team spirit and strengthen Fonterra values
Coordinate staff sales/ staff free products for team
Organize and prepare for team meeting; travel logistics upon requests
Support ACC team on paper works and payment process
Manage safety walk among Marketing working stations, remind team members to ensure health and safety as per Fonterra standards
Coordinate with HR department for the company events (Kick-off meeting, monthly Town Hall, Women day, Family day…)
Support other functions with administrative activities if require
Job Requirement
College or University graduate
Minimum 3 years of admin and Marketing Services experience in a Multinational FMCG Company, proven experience as an administrative assistant.
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS PowerPoint, etc)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills; strong organizational skills
Excellent written and verbal communication skills
Fluent in spoken and written Vietnamese and English
