Factory Planner and Warehouse Supervisor

1. Purpose

Ensuring seamless integration between production scheduling, warehouse operations, inventory accuracy, and outbound dispatch. Responsible for optimizing machine loading, maintaining strict material shelf-life (FEFO/FIFO) and batch traceability, minimizing operational downtime, ensuring on-time delivery (OTD), and maintaining accurate ERP data (IFS).  

2. Key Responsibilities 

A. Production Planning & Shop-floor Scheduling 

• Master & Daily Scheduling: Convert customer orders/forecasts into realistic Master Production Schedules (MPS) and daily machine running schedules, balancing plant capacity and material availability.  
• WIP & Bottleneck Management: Monitor Work-in-Process (WIP) on the shop floor daily. Proactively flag material shortages or machine downtime to the Production Manager to prevent bottlenecks.  
• Capacity Optimization: Coordinate with Production to optimize machine changeover times and handle rush/urgent orders smoothly without disrupting the master schedule.  

B. Warehouse Operations & Inventory Control

• End-to-End Warehouse Supervision: Supervise overall activities in Raw Material (RM), Semi-Finished Goods (WIP), Finished Goods (FG), and Spare Parts warehouses.  
• FEFO/FIFO & Shelf-Life Control: Strictly enforce FEFO (First Expired, First Out) for rubber compounds/chemicals and FIFO for finished goods. Ensure full batch/lot traceability in the ERP system.  
• Space Optimization & 5S: Maintain high 5S standards, space utilization, and safe storage of materials according to MSDS regulations.  
• Stock Accuracy: Lead periodic cycle counts and physical stock inventories. Ensure 100% data alignment between physical stock and ERP system (IFS).  

C. Outbound Shipping & Logistics Coordination (Hậu cần & Xuất hàng)

• Shipping Planning: Develop outbound shipping schedules aligned with customer delivery dates (OTD target).  
• Dispatch & Packaging: Oversee packaging, palletizing, and loading operations to ensure goods are packed securely and dispatched on time.  
• Freight Optimization: Consolidate shipments and coordinate with logistics providers/forwarders to maximize truck loading capacity and optimize shipping costs.  

D. ERP System & KPI Management (Hệ thống ERP & Quản trị KPI)

• ERP Data Integrity: Ensure real-time, error-free recording of all material receipts, issuance, WIP transfers, and finished goods dispatches in the ERP system (IFS).  
• KPI Tracking: Track and report weekly/monthly operational KPIs: Plan Attainment Rate, Inventory Accuracy, FEFO/Expiry Compliance, On-Time-In-Full (OTIF), and Freight Cost/Kg

• Education: Bachelor’s degree in Supply Chain Management, Industrial Engineering, Logistics, or Business Administration.  
• Experience: 3–5 years of experience in Production Planning and Warehouse Management in a manufacturing environment (experience in rubber, seals, gaskets, or automotive component manufacturing is highly preferred).  
• Technical Skills:
  • Strong proficiency in ERP systems (hands-on experience with IFS, SAP, or Oracle is a major advantage).  
  • Solid understanding of FEFO/FIFO, Batch Traceability, ABC analysis, and Min-Max inventory management.  
  • Advanced Excel skills (Pivot Table, VLOOKUP/XLOOKUP, Data analysis).  
  • Understanding of Lean Manufacturing, 5S, Kaizen, and warehouse OHS/fire safety regulations.  
• Languages: Good command of English (both written and spoken) for internal reporting and working with global logistics/management.  
• Key Competencies: Problem-solving under pressure, strong cross-departmental coordination, leadership, and high attention to detail.
