Primary Objective:
The Clinical Concierge is responsible for providing exceptional customer service, ensuring that all patients and clients feel comfortable, welcomed, and well-cared-for from the moment they enter the facility until they leave. This role serves as a crucial link between patients and medical services, ensuring their needs are met promptly and efficiently.
Duties and Responsibilities:
Welcoming Clients:
- Greet patients and clients upon arrival, ensuring they feel comfortable and cared for.
- Assist clients with registration and completion of necessary paperwork.
Appointment Management:
- Coordinate and manage patient appointments with doctors and healthcare professionals.
- Inform patients of any pre-appointment requirements and ensure they are fully prepared.
Consultation and Information Support:
- Provide detailed information about the services, treatments, and medical procedures available at the facility.
- Assist patients in selecting services that best meet their needs.
Handling Complaints and Feedback:
- Receive and address patient feedback and complaints, ensuring issues are resolved promptly and effectively.
- Escalate complex issues or unresolved complaints to the manager.
Supporting Treatment Process:
- Coordinate with the medical team to ensure the patient’s treatment process runs smoothly.
- Guide patients through the facility and assist them in navigating between different treatment areas.
Patient Information Management:
- Maintain and secure patient information according to medical confidentiality regulations.
- Update patient records after each treatment and ensure information accuracy.
Collaboration with Other Departments:
- Work closely with departments such as nursing, accounting, and service management to ensure seamless operations.
- Participate in internal meetings and contribute to improving customer service.
Education: Associate's or Bachelor's degree, preferably in Customer Service, Business Administration, or Healthcare.
Experience: At least 2 years of experience in customer service, preferably in healthcare or medical services.
Communication Skills: Excellent verbal and written communication skills.
Time Management Skills: Strong time management and multitasking abilities, capable of handling multiple tasks simultaneously.
Problem-Solving Skills: Ability to solve problems quickly and effectively, especially in high-pressure situations.
Professional Attitude: Polite, professional, and attentive demeanor in all situations.
