1. Office management
- Oversee reception activities, manage meeting room scheduling, including welcoming visitors, managing phone calls and meeting rooms.
- Manage uniform issuance and re-issuance in accordance with company policy. Uniform ordering, stock control, size management, and distribution schedules.
- Work as key member and primary coordinator in organizing and management activities town hall meeting, employees birthday
- Manage incoming and outgoing correspondence and deliveries.
- Schedule and manage company vehicle usage and maintenance, ensure transportation availability (company shuttle bus, Taxi or grab…) for staff and guests.
- Manage medical staff, medical supplies, and the procurement of medicines and first-aid equipment.
- Coordinate annual health check-ups for all employees.
- Other office related services & tasks.
2. Administration expense management
- Prepare budgets and forecasts for administration costs.
- Track, monitor, and report Administration expenses.
3. Expatriate document management
- Manage visa applications, work permits, temporary residence card (TRC) and other legal documentation for expatriate employees.
- Ensure compliance with local laws and regulations related to expatriates.
- Act as the primary point of contact for expat-related administrative queries.
4. Managing Canteen
- Supervise canteen operations and ensure vendor compliance with food safety, hygiene, and service standards.
- Control expense, optimize spending, check monthly invoices and manage payment processes.
- Maintain cleanliness and orderliness of the canteen area.
5. Team Supervision
- Supervise and guide admin staff or assistants (if any).
- Ensure admin processes comply with internal procedures, ISO, audit, and safety requirements.
- Propose improvements (Kaizen) to enhance efficiency, cost control, and service quality.
