Provide administrative support for lawyers and legal executives, and help with the day-to-day tasks involved in running a legal firm, include:
· Create, manage and secure the file storage system including (i) customer records/emails; (ii) personnel; (iii) administration effectively and scientifically;
· Check, guide trainee lawyers to ensure that the hard files/documents are properly and sufficiently saved in the file, and the softcopy files are saved enough on the server;
· Answer and transfer calls, take messages and manage emails;
· Prepare agendas and minutes of meetings;
· Organize travel, including flights, transfers, accommodation and Visas;
· Photocopy and maintain stationery stock;
· Work, negotiate with suppliers to order, purchase and receive goods with the best price/quality and/or purchase office supplies, machines, and equipment;
· Organize office lunches, year-end parties, Christmas, annual travel, annual health check-up…
· Implement and/or support the implementation of necessary tasks and procedures in changing, expanding and adjusting the working office;
· Other Admin tasks as required by partners, lawyers, accountant if any.
· Any bachelor degree in all major or specialized degree for secretary/ clerk;
· Have 2-3 years working experience is preferable;
· Required language: English;
· Be proficient in Microsoft Office: MS Word, Excel, Power Point, Internet, Outlook;
· Be well – organized and careful;
· Be responsible, dynamic, and hard-working.
