Collaborate with Legal, Finance, Design, and Vendors to ensure all project documents (drawings, BOQ, contracts, licenses, quotations, etc.) are approved before the contract begins.
Assist the manager in ensuring all handover documents with vendors, landlords, and internal parties are completed and properly recorded.
Arrange and archive all documentation and reports in both digital and hard copy formats.
2. Meeting scheduling and minute-taking:
Arrange project meetings and ensure timely communication among team members and stakeholders.
Minute-taking: Document key decisions, assigned tasks, and next steps during meetings.
3. Payment controlling:
Create Purchase Requests (PR) for approval once the BOQ and/or Variation Orders are approved.
Follow up on payment terms and claim processes by checking invoices and supporting documents, making payment requests according to agreements, and reporting any deviations for all assigned projects.
4. Project coordinator and Reporting:
Follow up on project schedules, collect client feedback, and report to the manager promptly.
Assist the Country Project Manager in updating the timeline and highlighting deviations.
Prepare for and document meetings with vendors for follow-up.
Ensure construction vendors prepare all required site documents.
Compare site reports with the project schedule and report deviations.
Ensure timely updates and submission of all required reports.

Bachelor’s degree.
2-4 years of experience in similar roles.
Experience in the construction business is a plus.
Manage documents, BOQs, and project contracts.
Understand Purchase Request processes and Project Management.
Good organizational skills.
Competent in Microsoft Word, Excel, and Outlook.
Handle tight deadlines and work under pressure.
Motivated, resourceful, proactive, and detail-oriented.
