ABOUT THE ROLE
As an Office Administrator, you will be the backbone of our office operations, ensuring smooth and efficient day-to-day functioning. You will undertake a variety of administrative tasks, providing crucial support to various departments and personnel within the organization.
OFFICE LOCATION & WORKING TIME
Lacàph Space Sài Gòn (head office): 220 Nguyễn Công Trứ, District 1, Ho Chi Minh City
Monday to Friday from 9:00 to 18:00, with occasionally weekend work when required
DUTIES
Office Administration (40%)
- Control and maintain the good appearance of the reception, working space, and meeting areas, ensure office hygiene;
- Ensure service fee payment (rental, electricity, water, internet, telephone, courier, transportation, etc.) is made on time from the right business unit;
- Monitor and manage maintenance and repair services for office equipment, machine, facility, and building, ensuring all in a good manner;
- Maintain supplies inventory and order services (admission, travel arrangement, office stationery, pantry supplies for head office staff, etc.);
- Manage head office’s tools & assets;
- Manage accounts on Collective email user systems;
- Coordinate with IT outsourcing service to solve IT-related matters;
- Review administrative and human resources contracts;
People operation (40%)
- Manage employee’s health insurance, annual health check;
- Manage time & attendance of staff;
- In charge of all aspects of Vietnamese immigration, including visas, entry permits, work permits, temporary residence cards, and other related legal documents for expats;
- Arrange for internal training;
Other duties (20%)
- Complete reports and other tasks as assigned by HR Specialist;
- Up to 20% of duties may fall outside of the JD to support ad hoc tasks, and initiatives to improve the working environment for head office;
REQUIREMENTS
● Bachelor’s degree in Human Resources, Business Administration, Law, or related field;
● Proven experience of at least 1 year in an administrative role or similar capacity.
● Excellent organizational and time management skills.
● Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
● Strong communication and interpersonal abilities.
● Attention to detail and accuracy in completing tasks.
● Ability to multitask and prioritize tasks effectively.
● Discretion and confidentiality in handling sensitive information.
