OPERATIONS AND PURCHASING EXECUTIVE

Department: Product Development

Location: 568 Luy Ban Bich, Tan Phu Ward, Ho Chi Minh City

Reports to: Head of Product Development

Working Hours: 44 hours per week

Role Purpose

Manage day-to-day operations and purchasing activities for the ODM team, including operational coordination, purchase orders, replenishment, and supplier follow-up. The role ensures accurate records, timely execution, and effective coordination across suppliers and internal teams, supporting product availability within approved plans and delegated authority.

Key Responsibilities

• Coordinate and track purchase orders through closure in line with approved terms and product requirements, following up on approvals, documentation, and payments with relevant teams.
• Monitor sales, inventory, and incoming supply; recommend replenishment for approval and coordinate action on stock risks.
• Coordinate with suppliers and internal teams on production, delivery, and order issues; escalate exceptions requiring approval.
• Coordinate daily operational activities, follow up pending actions and deadlines,and support team meetings as needed.
• Maintain accurate operational trackers and records; coordinate samples,documentation, and launch handovers with relevant teams and suppliers.
• Follow approved workflows and delegated authority; keep actions and changes traceable and escalate material risks, delays, or missing approvals.
• Perform other related duties as assigned based on business needs.

• 1-3 years of relevant experience, with hands-on responsibility for purchase orders, replenishment, and supplier coordination.

• Good understanding of purchasing processes, inventory management, and order fulfillment.

• Strong Microsoft Office skills, particularly Excel, with the ability to analyze sales, inventory, and order data.

• Detail-oriented, organized, and proactive, with reliable follow-through and effective cross-functional communication.

• Good written and spoken English is required

• Experience in beauty, retail, FMCG, or OEM/ODM operations is preferred. Uses AI tools effectively and verifies outputs before use.
