Job Description

1. Job Purpose

Responsible for the overall management and operation of the raw material warehouse and finished goods warehouse. Establish and continuously improve warehouse rules, regulations, and operational procedures to ensure efficient, safe, and orderly daily warehouse operations to meet production and shipping requirements.

2. Key Responsibilities

System & Process Development

Lead the establishment and continuous improvement of warehouse management systems, Standard Operating Procedures (SOPs), safety regulations, inventory counting procedures, inbound/outbound processes, and exception handling mechanisms, ensuring compliance with company requirements and local Vietnamese regulations.

Develop and optimize operational processes for both the raw material warehouse and finished goods warehouse, outbound operations in the finished goods warehouse.

Establish an inventory record management system, clearly defining standards for recording, verification, and archiving to ensure book-to-physical consistency.

Daily Operations Management

Oversee daily receiving, issuing, storage, and inventory counting activities in both warehouses. Effectively allocate personnel, equipment, and space to ensure timely material supply to production and on-time finished goods shipment.

Organize and supervise daily/periodic counts, random checks, and annual full inventory counts; analyze discrepancies and implement corrective actions to maintain high inventory accuracy (target ≥98%–99.5%, specific target set by the company).

Manage warehouse 5S/6S, safety, fire protection, and proper use of personal protective equipment to eliminate safety hazards.

Inventory & Record Management

Ensure all inbound and outbound documents are timely and accurately entered into the system (ERP/WMS), achieving consistency among records, cards, and physical stock.

Monitor inventory turnover, slow-moving stock, overstock, and stockout situations; provide timely warnings and drive resolution.

Coordinate with Finance, Production, Purchasing, Sales, and other departments on inventory reconciliation, cost accounting support, and audit activities.

People & Team Management

Provide input on warehouse team recruitment, conduct training, performance evaluation, shift scheduling, and daily guidance; develop a team capable of executing procedures and handling exceptions.

Establish performance evaluation KPI and continuously improve team execution and service awareness.

Other Duties

Participate in new factory warehouse layout optimization, equipment selection recommendations, and collection of improvement suggestions during the automated system ramp-up period.

Handle urgent exceptions (incoming material issues, system failures, urgent shipments, etc.) and report promptly to superiors.

Complete other related tasks assigned by supervisors.

Job Requirement

Basic Requirements

Education: College diploma or above; majors in Logistics Management, Warehouse Management, Industrial Engineering, Supply Chain Management, or related fields preferred.

Work Experience: Minimum 5 years of warehouse management experience, including at least 2 years in a Warehouse Supervisor or equivalent managerial role. Experience managing both raw material and finished goods warehouses in manufacturing industries (especially electronics, machinery, consumer goods, etc.) preferred.

Industry Background: Experience in setting up new factories/new warehouses and establishing management systems from scratch preferred. Experience with automated warehouse systems (AGV, conveyor lines, WMS integration) preferred.

Professional Skills & Competencies

Strong ability to develop warehouse management systems; capable of independently drafting SOPs, inventory counting procedures, inbound/outbound processes, and safety regulations.

Proficient in inventory management, book-to-physical verification, FIFO, batch management, and slow-moving stock handling.

Familiar with ERP/WMS system operations and data reconciliation; able to drive consistency between system records and physical stock.

Good data analysis skills (proficient in Excel; able to prepare inventory reports and discrepancy analyses).

Knowledge of local Vietnamese labor regulations and safety/fire protection requirements preferred (or strong learning ability).

Language & Soft Skills

Language: Basic English or Chinese communication skills are sufficient.

Strong execution ability, sense of responsibility, Detail-oriented, and problem-solving skills; able to quickly establish order during the new factory start-up phase.

Good team management, and communication skills.
