Position Summary: taking care of daily requests/ bookings from Inbound staff
· Book all services belong to hotels: accommodation, meals, train ticket, overnight boat, speedboat ticket,...
· Follow up with supplier in order to get the final confirmation. Make sure one file incl. all confirmation from hotels and other suppliers.
· Ensure a smooth communication and cooperation with supplier and colleagues.
· Enquiries must be responded within 24 hours to maximum of 48 hours.
· Coordinate with other department to ensure all services are booked and ready for our booking and transfer to Sales staff, in order to confirm to agent.
· Follow hotels/suppliers payment terms and conditions.
· Follow internal pre-payment/deposit flow procedure.
· Remind hotels/suppliers issue the VAT invoice and send to the company.
· Using properly our Reservation system (key the detailed services and correct nett cost)
· Report regularly about any issues, problems to your supervisor or direct to Line Manager
· In case of complaints, be aware and follow the internal communication – flow system for complaints.
· Make sure out of e-mail replies are set up on leaves (>=2 days)
· Inform your Supervisor or Line Manager in case of sickness/leave in advance to ensure a proper assignment of colleagues to take care of your daily e-mail/tasks.
Job Requirements (i.e. education, work experience, skills, attitude)
· Desire to work in the Hospitality and Tourism industry.
· Intermediate in communication, interpersonal and team organization skills.
· Good negotiation skills and carefulness.
· Good at English (writing and speaking) and other languages (if there is).
· Able to work independently and in a team environment.
· Proficient in computer: Microsoft office, excel, internet and other useful software.
· Enjoy high pressure of work.
