Develop and oversee the academic calendar, course schedules, and semester timetables in consultation with relevant academic leaders and faculty. Handle requests for schedule modifications, updates, and streamline the process with input from administrative offices.
Collaborate with the administrative office to ensure effective course scheduling, implement enrollment strategies, manage enrollment records, and facilitate communication with faculty.
Ensure that enrollment data is accurately captured and accessible through the institution’s IT systems, working with the administrative office.
Assist in implementing academic policies and graduation procedures in coordination with the administrative office.
2. Budget Management
Aid in the development and oversight of the department's annual budget, working with financial management teams.
Partner with finance teams to monitor departmental expenditures.
3. Operational Program Management
Oversee information systems and documentation, including:
Curriculum documents and course catalogs, ensuring timely updates and changes
Academic and program-related policies and procedures
Serve as the primary contact for faculty inquiries regarding academic matters.
Support updates to faculty hiring plans and track visiting faculty with the assistance of academic leaders.
Facilitate faculty exchange opportunities with other institutions.
Provide accurate and timely reports and data to relevant stakeholders.
Supervise staff in various areas including mobility initiatives, scholarships, accreditation, quality assurance, and teaching and learning support.
4. Student Affairs & Services Liaison
Act as a liaison between faculty and the student services team, ensuring effective communication of relevant information.
Assist in the development and delivery of extracurricular programming, such as workshops and special events involving faculty.
Attend meetings of the student services team when possible.
5. General
Contribute to special programs as assigned, pursue relevant training to enhance expertise, participate in departmental and campus-wide committees, and engage in activities that benefit the university community.
Provide support to the administrative office as needed.

What we look for
Education: Bachelor’s or Master’s degree, preferably in education.
Experience: Minimum of 4-5 years of experience working in education field with high level administrative and educational management capacity, or in a similar position.
Knowledge, Skills and Abilities:
Strong knowledge of the higher education landscape and regulations in Vietnam. Understanding of the liberal arts approach and the U.S. higher education system is preferred.
Strong analytical and problem-solving skills for identifying needs, conducting research, and developing innovative proposals, solutions and programs
Demonstrate experience in managing complex administrative processes.
Excellent oral and written communication skills.
Proven experience representing an institution with external accrediting bodies and education quality frameworks.
Flexibility and ability to collaborate effectively with internal and external stakeholders, including faculty, students, staff, the Executive committee, the Board of trustees, the Ministry of Education and Training, etc.
