Document Management:
Establish and maintain a comprehensive document control system to ensure the effective management and storage of all project-related documents;
Ensure the timely distribution, retrieval, and control of project documents, such as drawings, specifications, reports, and correspondence;
Maintain an up-to-date document register and master document list;
Document Tracking and Monitoring:
Track the status of all project documents, including their review, approval, and distribution;
Monitor and manage document revisions, changes, and approvals, ensuring that the latest versions are readily available;
Coordinate with project stakeholders, such as engineers, contractors, and subcontractors, to ensure the timely submission and processing of documents;
Document Coordination and Communication:
Serve as the central point of contact for all document-related inquiries and requests;
Facilitate the flow of information and documentation between various project teams and stakeholders;
Provide support and training to project personnel on document control procedures and best practices;
Quality Assurance and Compliance:
Ensure that all project documents adhere to established standards, formats, and quality requirements;
Implement quality control measures to verify the accuracy and completeness of project documentation;
Maintain compliance with relevant industry regulations, guidelines, and contractual requirements related to document control;
Reporting and Record-keeping:
Generate periodic reports on the status of project documents, including document logs, transmittals, and distribution records;
Maintain a comprehensive archive of all project-related documents, ensuring their proper storage and retrieval.
Education: Diploma or Bachelor's Degree in Business Administration, Engineering, or related fields.
Experience: At least 2 years of experience in document control or project administration, preferably in a construction, engineering, or industrial setting.
Skills:
Strong organizational skills and attention to detail.
Proficiency in document management systems and MS Office Suite (Word, Excel, PowerPoint).
Ability to prioritize and manage multiple tasks simultaneously.
Excellent communication skills, both written and verbal.
Strong problem-solving and analytical skills.
