Proposal Preparation
· Receive and analyze input information and requirements directly from the client or as forwarded by the Business Development Manager (BDM).
· Summarize key information for the BDM to support pricing preparation.
· Prepare proposals based on company templates and ensure quality and accuracy before submission.
· Coordinate internal deadlines to ensure timely delivery of all proposal materials.
· Maintain and update company credentials, portfolio database, and project sheets.
· Translate proposal/RFP documents and project information as required.
· Research information on potential target customers from local business newspapers, internet, other media, etc.
· Provide regular updates and progress reports to the BDM and BOD.
Administrative Support to BDM
· Support the BDM in scheduling meetings, preparing meeting notes, and following up on action items.
· Maintain and update the client contact database and project pipeline tracking sheet.
· Prepare internal reports, meeting minutes, and follow-up summaries as requested.
· Coordinate communication between Business Development, Design, and other internal or external parties.
· Perform any other tasks assigned by the BDM and BOD.
· Bachelor's degree in Business Administration, Marketing, Architecture, Interior Design, or related field.
· Minimum 2–3 years of experience in a proposal coordination, or business development support role, experience in hospitality design is highly preferred.
· Proficiency in MS Office (Word, Excel, PowerPoint); experience with Adobe InDesign is highly preferred.
· Strong attention to detail, organization, and visual presentation.
· Ability to coordinate effectively across teams and handle multiple deadlines.
· Strong written and verbal communication skills in English (mandatory).
